Configure email notifications for a program (Step 7 of the Assessment Program Wizard)

The assessment program wizard enables you to configure email notifications for your program. You have the option to send a launch program email with a message to all participants and evaluators. 

Send a program launch email (Optional)

  1. The program launch email is enabled by default (Toggle it off to disable it). 

      

  2. To customize your launch email message, click CUSTOMIZE. This will allow you to personalize the content of the email.


      
  3. In the Program launch Email window, click the dropdown arrow under Sender to reveal the list of users in your organization.

               

  4. Select a user who will be designated as the preferred sender for your program launch. 
    By default, the program owner is automatically set as the sender of the program launch email. This means that recipients of the program launch email will see the program owner's name as the sender. However, you have the flexibility to choose any user in the system as the sender of the program launch email.
  5. Under Customize Message, click to edit the message according to your preferences. 

            

  6. To preview the message, click PREVIEW to view how it will appear to recipients.  

           

  7. Click SAVE

           

  8. Additionally, you can customize the three initial task notifications before launching your program. For more details on how to do this, refer to the instructions below. 



  9. Finally, when you are ready to launch your program, click LAUNCH PROGRAM to initiate the launch process.

       

Customize the initial task notifications message, date and time before launching your program (Optional) 

Every program has three task - The Self Assessment which is completed by the participants, the coach/leader rating and the one on one final rating which are both completed by the assigned evaluator. The system will send 3 initial task notifications to the assigned individual. Each task will be kicked off in sequence. 

Follow the steps below to add custom messages to each of the initial tasks notifications:

To customize the self assessment initial notification:
  1. Click Customize the message.


  2. Under Send Date, select a date and time when this  notification will be sent to participants. 


    To ensure participants have ample time to complete the self assessment task, we recommend sending this email within 0-1 days after your initial program launch.
  3. Under Add Custom Text to the End of the Message, click to edit the message according to your preferences. 


  4. To preview the self assessment initial email, click Preview.

     

  5. Click Save.



To customize the coach/leader rating initial notification:

  1. Click Customize the message


  2. Under Add Custom Text to the End of the Messageclick to edit the message as you prefer. 



  3. To preview the coaching/leader rating initial email, click PREVIEW.

     

  4. Click SAVE.
              
To customize the one on one initial notification:
  1. Click Customize the message



  2. Under Add Custom Text to the End of the Messageclick to edit the message as you prefer. 

      
  3. To preview the one on one initial email, click PREVIEW.

      

  4. Click SAVE.

               


Finally, when you are ready to launch your program, click LAUNCH PROGRAM to initiate the launch process.
